Inventory Accounting, Our Custom Dolibarr Module

Inventory Accounting is a native Dolibarr custom module for inventory accounting close support. It helps Dolibarr users review inventory movement activity, run a standard-cost inventory close, review exceptions, finalize close runs, export accounting transactions to CSV, update product standard costs, and view inventory valuation by date.  With improved inventory accounting, your accounting system can provide a clearer picture of inventory related activity including cost of goods sold, adjustments for the period, production cost and margin, and inventory account balances. As a result, you will have more insight into profitability and be positioned to make more informed decisions.

Filling a Gap

Inventory management is a challenge for many small and medium sized  businesses. For Dolibarr users, the challenge is compounded because  there is no straightforward means of accounting for inventory and  tracking cost of goods sold. This is important because without Cost of Goods Sold calculations, you are effectively flying blind as to a primary metric of success – product profitability. Standard Dolibarr relieves inventory in the products/services module when the  sale is invoiced, but there is currently no mechanism for mapping  inventory transactions into the accounting system (except for purchase  receipts, which are processed as purchase journal entries). Our module fills this gap, providing complete visibility of costs.

How It Works

The Inventory Accounting module addresses this problem by analyzing product movement activity of all types – which Dolibarr tracks very well in the Products/Services module. It then uses a snapshot the Inventory Accounting system created from the prior period for beginning inventory, and calculates:

  • Sold inventory at cost (= cost of goods sold for the period)
  • Adjustments from all sources (count variances, spoilage, etc. = adjustments)
  • Issues to production if present (= production issues)
  • Receipts from production if present (= production receipts)
  • Purchase Receipts (Require special handling to avoid duplication)

Simple To Install In Your Existing Dolibarr System

The system is delivered as a .zip file that is simple to install and set up. It makes no modification to existing Dolibarr code and data. It is a custom module that will persist through the standard Dolibarr upgrade process. Purchase includes updates for two years and email support for three months. Included with the system is a three-month subscription to our wiki including training videos that explain the who, what, when, and why of inventory management with Dolibarr and the Inventory Accounting module. The wiki provides extended support for setup and configuration, accounting advice on inventory related issues, system administration functions, and detailed user documentation.
